Policies

Check-In

Check-in begins at 3:00 PM. If you arrive early, you are welcome to park in our off-street lot and explore Cooperstown until your room is ready.

In-person check-in is available between 3:00 PM and 6:00 PM.

After 6:00 PM, we offer self check-in. Guests will receive an access code by text message on the day of arrival once a valid credit card is on file and the reservation is fully confirmed. A valid credit card must remain on file for the duration of the stay. Access codes are unique to each reservation and expire at check-out.

Please use the free off-street parking area behind the building. Each guest room includes one designated parking space. We are unable to accommodate additional vehicles.

A luggage wagon will be available near the light post in the parking area for your convenience when transporting bags to the house. We kindly ask that the wagon be returned to its place after use so it remains available for other guests.

The driveway may be used briefly to unload luggage, but please do not leave your vehicle there if other guests are arriving or departing.

If you need assistance upon arrival, please text us directly and we will respond as quickly as possible.

Check-Out

Check-out is at 11:00 AM. We kindly ask that rooms be vacated promptly at that time so we may prepare for arriving guests.

Late check-out may be available by request and is subject to availability. However, we reserve the right to impose a $20 fee at our discretion for this service, as it can impact our ability to prepare your room for the next guest.

Unapproved late departures may result in this $20 charge being automatically applied.

Before leaving, please ensure all personal belongings are collected and room keys are returned to the designated location provided at check-in.

Unreturned or lost keys will result in a $40 replacement fee per key.

Cancellation Policy

Cancellations or changes to reservations must be made at least 15 days prior to the scheduled arrival date. Payments will be refunded less a $30 administrative fee.

Reservations cancelled or shortened within 15 days of arrival are non-refundable.

No-shows are considered cancellations and are non-refundable.

Guests who book directly through our website may purchase the optional Travel Protection Plan at the time of booking. This plan allows guests to apply for a refund, minus the Travel Protection fee, in the event of covered unforeseen circumstances.

The Travel Protection Plan is not available for reservations made through Online Travel Agencies such as Booking.com.

Payment

Full payment is required at the time of booking. The credit card on file will be charged in full to confirm the reservation.

Room rates are subject to 8% New York State Sales Tax and 6% Otsego County Occupancy Tax. Taxes are in addition to published room rates.

We accept Visa, MasterCard, Discover, and American Express. We do not accept cash or checks.

By booking a reservation, guests authorize Cooperstown Bed and Breakfast to charge the credit card on file for the full reservation amount, applicable taxes, and any additional fees incurred during the stay, including but not limited to late check-out fees, lost key fees, damage charges, or excessive cleaning fees if necessary.

Children

To preserve a quiet and relaxing environment for all guests, we welcome children age 10 and older.

Season & Minimum Stay

The inn is open May 1 through October 31.

From November 1 through April 30, the inn is open on select weeks and weekends. Availability during this period is limited and may vary.

Off-season full-house bookings may be available by advance arrangement. Please contact us directly to discuss private rental options.

A two-night minimum stay is required during the months of July and August. During Hall of Fame Induction Weekend (typically the last weekend in July), a three-night minimum stay is required.

Single-night stays may be available in May and June, as well as September and October.

Accessibility & Stairs

Cooperstown Bed and Breakfast is a three-story Queen Anne home built in 1901. The property does not have an elevator.

Guest rooms are located on upper floors and require the use of stairs.

Guests should be comfortable navigating stairs and carrying their own luggage. Limited assistance with luggage may be available during staffed check-in hours between 3:00 PM and 6:00 PM.

If you have mobility concerns, please contact us prior to booking so we can help determine whether our property is a good fit for your needs.

Smoking

Smoking and vaping are not permitted anywhere on the property, including guest rooms, common areas, porches, driveway, and outdoor spaces.

Violation of this policy will result in a minimum $500 cleaning and odor removal fee. Additional charges may apply if the room must be taken out of service.

Parking

Each guest room includes one designated off-street parking space in the lot behind the building. We are unable to accommodate additional vehicles.

The driveway may be used briefly for unloading luggage but may not be used for parking.

Unauthorized vehicles may be required to be removed. Cooperstown Bed and Breakfast is not responsible for damage or loss to vehicles.

Breakfast

A full, hot breakfast is served daily between 8:00 AM and 10:00 AM in the dining room.

Guests will receive a message prior to arrival requesting breakfast selections for the following morning(s). We kindly ask that preferences be submitted as soon as possible to assist with planning and preparation.

If you have food allergies or medical dietary restrictions, please notify us at least seven days prior to arrival. We will also send a message prior to your stay to confirm any dietary needs.

Food Allergies & Dietary Needs

We take food allergies and medical, religious, and cultural dietary restrictions seriously.

Our inn operates two physically separate kitchen spaces. One kitchen is maintained as a dedicated allergen-conscious environment and is not used for the preparation or storage of gluten-containing foods. Separate equipment, utensils, and preparation surfaces are used in this space to help minimize the risk of cross-contact.

Guests with food allergies or dietary restrictions should notify us at the time of booking, or at least 72 hours prior to arrival whenever possible. We will also reach out prior to your stay to confirm dietary needs and discuss any specific concerns.

While we follow strict food safety and separation protocols, we cannot guarantee a completely allergen-free environment. Guests with severe or life-threatening allergies are encouraged to contact us prior to booking so we can determine together whether our accommodations are appropriate.

Quiet Hours

Quiet hours begin at 10:00 PM to ensure a restful stay for all guests and to respect our residential neighborhood.

After 10:00 PM, porch and yard conversations should be kept at a quiet conversational level.

Guests are welcome to use the front parlor at any time, provided noise is kept to a minimum.

Pets & Animals

Pets are not permitted on the property.

The owners have a dog who resides on-site and may occasionally be present in ground-floor common areas. The dog does not enter guest rooms. He is extremely friendly and has been trained as a therapy dog, so feel free to say hello to him.

While guest rooms and common areas are thoroughly cleaned between stays, this property is not allergen-free. Guests with significant animal allergies should take this into consideration when booking.

Registered Guests

Only registered guests are permitted on the property and in guest rooms for more than a brief visit. Visitors must be approved in advance. Unauthorized guests may result in additional charges or termination of the stay.

Damage & Excessive Cleaning

Guests are responsible for any damage caused during their stay, which may result in additional charges being incurred. This includes, but is not limited to:

  • Damage or destruction of rooms, furnishings, or property
  • Improper or unsafe use of electronics
  • Glitter, or any other inappropriately discarded food, cosmetics, toiletries, etc.
  • Physical harm to our chickens or dog
  • Any unnecessary behavior that results in excessive cleaning beyond standard turnover

Unforeseen Circumstances

Cooperstown Bed and Breakfast is not liable for cancellations or disruptions caused by events beyond our control, including but not limited to severe weather, power outages, natural disasters, government restrictions, or health-related circumstances that affect the safe operation of the property.

If the inn must cancel a reservation due to such circumstances, guests will receive a refund of payments made.

Right to Refuse Service

We reserve the right to refuse service or terminate a stay for violations of house policies or behavior that disturbs other guests or damages the property.

Guest Conduct

We reserve the right to terminate a stay without refund for any guest whose behavior is disruptive, unsafe, unlawful, or in violation of house policies.

Examples include, but are not limited to:

  • Any behavior that compromises the safety of the owners, animals, staff, or other guests.
  • Intentional damage or destruction of property belonging to the inn or other guests.
  • Disorderly conduct, including excessive intoxication.
  • Harassment, threats, or abusive behavior toward others.
  • Failure to comply with Federal, State, or Municipal laws.

Housekeeping

Daily housekeeping is not provided unless requested. Fresh towels or supplies are available upon request.

Fire Safety

In the event of a fire, the entire building is equipped with a sprinkler system in each room. Evacuation instructions can be found near the door of each room.

Tampering with smoke detectors, disabling alarms, or use of open flames, candles, or cooking devices in guest rooms is strictly prohibited and may result in immediate termination of stay.

Candles, incense, and open flames are not permitted in guest rooms. Additionally, the charging of lithium-ion micro-mobility batteries, such as those used by E-bikes/E-Scooters, inside guest rooms is strictly prohibited.

Room Occupancy

Each guest room has a maximum occupancy limit. Only the number of guests listed on the reservation are permitted to stay overnight.

Firearms , Weapons, Explosives, and Hazardous Materials

Firearms, weapons, explosives, incendiary devices, and other harmful materials are not permitted on the property, including guest rooms, common areas, porches, driveway, and parking areas.

Any violation of this policy may result in immediate termination of the stay without refund.

Lost & Forgotten Items

Guests are responsible for ensuring all personal belongings are collected prior to departure.

Items left behind will be held for up to 14 days. If requested, items may be returned by mail at the guest's expense, including packaging and shipping costs.
